Offline Data Backups vs Online Data Backups

A Discussion on Business Continuity and Disaster Planning

 

 

Let’s first discuss what constitutes an offline and online backup as some people immediately jump to the conclusion that all online backups are something which holds data in a Cloud somewhere.

 

 

Offline Data Backups

Offline data backups are generally ones where you backup company data to one or more types of removable backup media, for example removable tape, WORM drive (Write Once, Ready Many times), DVD, USB memory stick etc. etc.

 

 

 

 

Online Data Backups

Online data backups are generally ones where you backup to an external hard disk or network NAS drive, or perhaps copy your data to another computer, laptop or server.

 

 

Both in essence are great for making a backup of your data, but why would you choose one type of backup over the other?

 

Offline backups will be far more reliable and robust in a number of different scenarios

 

  • Fire, Flood or Theft
  • Office Break In
  • Virus or Spyware on the Computer System
  • Hardware Failure
  • User Error

 

Offline backups can be removed from the office and kept securely at a separate physical location and therefore not susceptible to erasure, change or deletion.

 

Viruses and spyware can corrupt, change or delete data on your computer network and your online backups, again, data within offline backups should remain unaffected.

 

Also if your office is broken into, the computers are likely to be stolen, along with the online data backups.

 

If there was a fire or flood in the office, again online backups would be destroyed whereas offline backups are likely to be safe at a different physical location.

 

Generally online backups and medium tend to be at the budget range of backups and generally require the least amount of effort to maintain, but that doesn’t mean that an offline backup will be hugely expensive.

 

Offline backups in the least can be a DVD or a USB memory stick that contains a backup of the company data and is kept at a separate physical location.

 

So What Should You Do

There is an old adage in the I.T industry that you can’t have too many backups, and often relying upon a single type of backup certainly has its weakness.

 

In the best interest of business continuity and disaster planning, generally we would advise:-

 

  • A Series of Offline Data Backups going back over a period of time
  • Use at least a couple of different mediums for the Offline data backups
  • A Series of Online Data Backups going back over a period of time

 

 

Each company is different and has its own challenges and there isn’t necessarily a one size fits all solution and in the first instance we would advise that you obtain tailored advice from a reputable and qualified I.T expert.

Data Backup Full vs Differential vs Incremental

Different Types of Backup.

 

Backing up the data within your business is a business critical event

More than anything, it helps to make sure that you don’t lose any important files, whether they are quotes and order forms or customer or employee details. The loss of either would be a disaster to the business. Whichever way you look at it, investing in a backup system of some sort, is a something that needs to be done.

 

There are numerous different backup mediums that can be used, ranging from flash storage to tapes to hard disk drives and choosing the right one for your business or home use is purely based on your personal requirements and preferences.

CD’s and DVD’s if you have very little data to be backed up and a lot of time in which to do so, or flash storage if you have a bit more money to spare but need the fastest backup possible.

 

More importantly, there are different ways of backing up your data. Three of the most common of these, are Full Data Backup, Incremental Data Backup and Differential Data Backup.

 

Here’s a little further explanation on what each one does, and the good sides and the bad sides to each of them.

 

 

 

Full Data Backup

This form of Data Backup is fairly self-explanatory with its name and does what it says on the tin. It performs a full data backup of every folder and file that is specified to be backed up within the backup software whether the files it backs up are newly created or several years old since they were last opened, it backs it up either way.

 

The advantages to this sort of data backup are fairly clear in the respect that it is the most thorough form of data backup possible. But the other up-side to this form of backup is that should you ever need to restore the system from one of the created backups, then the process is the quickest and simplest of all the methods.

 

This method of course does have its downsides however, the most obvious being that it takes far longer to run a full data backup than any other, as absolutely everything is backed up, not just select files. The other disadvantage to this method of backup is the fact that you will need far more backup storage space available because of the amount of files that are going to be backed up.

 

Because of how long this way of backing up usually takes, it is often either run on a server in the very late hours of the night when the server is not being used or accessed, or over a weekend on a weekly basis.

 

 

 

Incremental Data Backup

This type of data backup works by only ever backing up files that have been modified, changed or created since the last data backup was made.

 

In turn, this results in a very fast data backup service as opposed to the full data backup option as well as needing a lot less in the way of storage requirements because of the considerably lower amount of files being backed up. On the other hand, there is the downside that if you ever need to restore data at any point, the restore process will take considerably longer than any other backup method.

 

 

Differential Data Backup

The final type of backup is Differential Data Backup. Essentially this is just a combination of the two above mentioned methods.

 

For example, a full data backup could be run late on a Sunday night and the rest of the week to follow would just use differential data backup methods. Making sure that only files that had been modified or created since the last full data backup, were backed up that time round.

 

Like the other methods, there are still slight disadvantages to this method, but all round it proves itself to be a good way to back up on a regular basis without using an excessive amount of storage space. Restoring data from the backup is faster than form incremental backup, but slower than a full data backup and likewise the backing up process is slower than the incremental data backup alone but still slower than a full data backup.

 

 

Summary

 

  • Full Data Backups take the longest to complete but the backup will contain a complete set of your data

 

  • Incremental Data Backups are the quickest types of backup to complete, but it will only contain a subset of your data, data that has changed since the last Data Backup

 

  • Differential Data Backups only backup data that has changed since the last Full Data Backup and are likely to be quicker than a Full Data Backup

 

 

Choosing the right style of backup for either personal or business use is a choice left up to you, but the above information hopefully leaves you a little more clued up as to what to expect from each type of backup before making a decision on one.

Advice

We would advise that you seek expert advice before embarking on a suitable backup regime for your company. A mistake made in the planning of data backups can have a catastrophic consequences if the need to restore data arises and you do not have a complete set of your data.

VoIP telephone systems, office telephone systems Call Logging - Reports can be produced for calls either from an extension or to a specific number.

 

Call queues - allow many lines to be held with your message prompts.

 

Call recording - Calls from extensions can be recorded by the phone system for use later.

 

CLI - caller line identification - allows you to see who is calling you before you lift the receiver.

 

DDI - Direct Dial In - An external phone number rings an extension directly

 

DID - Direct Inward dialling - Same as DDI

 

Digital receptionist - can route calls through to the correct department with ease.

 

Exchange Unified Messaging (UM) - Microsoft (R) Exchange provides for Voice Mail in exchange mail.

 

Integrated fax server - Users can receive and send faxes using Windows (R) Computers

 

IP - Internet Protocol - The language that all computers use over the internet.

VoIP telephone systems, office telephone systems

 

 

 

ISDN - Integrated Services Digital Network - Digital Lines supplied as 2 or 30, allows for clearer speech and more features like DDI

 

Music on hold - when you want to transfer a call music, or indeed an advert, is played to your caller.

 

Night Service - Allows ringing patterns to change at a particular time of the day.

 

PBX - Private Branch eXchange - Is a telephone exchange that serves a business or office

 

PSTN - An analogue phone lines

 

Remote acces s or working from home is easily configured, allowing calls to be made and received from anywhere you are.

 

SIP - Session Initiation Protocol - Allows different types of IP Telephony to communicate seamlessly

 

Voice mail integrated with email - means that when a message is left for you an email is sent to your chosen email address.

 

VoIP - Voice-over-Internet protocol - Used by all IP Telephones to make calls over the internet.

 

VOIP enabled - giving you the power of the internet to communicate easily to you customers

It is likely after this date you will need to purchase the upgrade which is presently £189.99 for the Pro Version according to Microsoft's website

 

Windows 10 was released in July 2015 and has been in the field for around a year now and according to Microsoft it is on several million devices worldwide.

Unity 101 Radio Show – Quilley Dragons

On the 10th June 2016 Paul Marsh’s winning student companies from Quilley School in Eastleigh were talking about their experiences on Unity 101 Radio, a Southampton based Radio Station.

 

If you remember from the previous BLOG posts, the Federation of Small Businesses (FSB) and Southern Business Growth Network (SBGN) provided Quilley School students with some Dragons Den style tuition on forming a business, working out the market research, finance, marketing, and the final Dragons Den presentation.

 

There initially were around 200 Year 7, Year 8 and Year 9 students from Eastleigh based Quilley School that took part in the Dragons Den event, with the most promising student companies actually presenting their ideas and company to a panel of Dragons who were owners of small local businesses who had donated their time to assist Eastleigh based Quilley School.

Sainsbury’s in Hedge End presented The Winners with gift cards and a donation was made to the school

 

Paul Marsh of Century IT Services was invited on the Radio Show as the most successful Dragon, scoring a hat trick with 3 of his student companies out of 200 students winning 1st, 2nd and 3rd places with their innovative ideas and first class presentations.

 

Paul says its not necessarily the final destination in this Dragons Den event which is of primary importance, but the experience and enjoyment of journey and of course the skills you have learnt that you would not have otherwise gained.

Quilley School Dragons Den 2016

What an exciting update to publish today!!

Quilley School Dragons Den 2016

If you remember from previous Blog posts, the most promising and viable business ideas from each class were put forward for consideration in the final Dragons Den scenario which took place on the 17th May 2016 at Quilley School in Eastleigh.

 

This was a pivotal moment for each student company to hone their skills and further develop their Dragons Den pitch, with PowerPoint presentations and handouts.

 

The Finalists

The finalists were 14 student business ideas that were pitched to the Dragons.Business ideas ranged from: - Gym and Fitness Clothes Company, Wholesale pet supplies, a Company that made a Phone APP, Pet Photography Business, a Cube Prototype to help kids tell the time, Book Mark for Dyslexic people, Pet Sitting and Dog Walkers, Bespoke Perfume Bottle Company, Fruit Smoothie Company and several other viable business ideas.

 

Special recognition should go to the Bespoke Perfume Company whose Dragons Den pitch was the only solo presentation. The other members of the student’s team were out on a school trip. To stand in front the Dragons and the other students and give their pitch solo, was a notable and courageous thing to do.

Scoring Criteria

Each Dragons Den pitch was scored out of 10 for the following categories: -

  1.  Business Idea
  2.  Business Planning Process
  3.  Marketing Strategy
  4.  Financial Forecast
  5.  Teamwork
  6.  Pitch

 

The winners and runners up were presented vouchers from Sainsburys and also Sainsburys made a donation to the school

 

Prizes donated by Sainsburys were presented by Lesley Powell and Russell Oakley who are based at the Hedge End Store, with certificates presented by Chris Herbert, Economic Development Officer, Eastleigh Borough Council.

 

After much deliberation, the winners can be announced as the following: -

Paul Marsh Scores a Hat Trick as the Most Successful Dragon!

 

Paul Marsh was naturally pleased that 3 of his Dragons Teams were short listed to pitch their business ideas to the Dragons panel and the other school students. Quilley School Dragons Den 2016

 

And especially pleased when those students that were in his business enrichment group were all voted as the best business Dragons Den pitches in the school.

Paul says that it was recognised that all the winners came from his Year 9 Tutor Group and accepts that he had his part to play in this competition in ensuring his students stood a good chance of winning (which they did)

 

Although Paul also believes that the Group Tutor Teacher Mr Pascal Garrard deserves the most recognition, as he is the teacher which is with these student’s day in, day out, every day of the week and the students are a credit to his dedication to the profession of teaching.

 

Paul would also like to point out that each of 14 student company finalists who pitched their business to the dragons were winners in their own right as far as the Dragons were concerned.

 

Although some students didn’t win the Dragons Den competition this year, they deserved to be congratulated for their effort and ingenuity and should not give up on their ambitions of having their own company one day. In fact this competition has really shown that the students in the very least have the ideas and enthusiasm to start their own businesses.

 

Perhaps next year, they could tweak their business plans and re-present their business ideas to the Dragons again. As there were so many good ideas, and unfortunately out of the whole school there could only be 3 winners
